Scaling Federal Benefits Outreach Through Managed Appointment Setting
The Challenge
MyFed Benefits helps federal employees better understand and access the benefits available to them.
The organization wanted to expand its market reach and connect with more federal employees who could benefit from its services while complementing other marketing initiatives already underway.
Calltastic was engaged to build and manage a dedicated outbound appointment-setting operation.
The Calltastic Approach
Calltastic assumed responsibility for outbound execution while MyFed Benefits retained control of downstream qualification and conversion.
The operation started small and expanded as the model developed, combining talent, process, dialer strategy, coaching, reporting, and contactability management into a single managed operation.
What We Implemented
Calltastic manages:
- Outbound calling
- Appointment setting
- Staffing and recruiting
- Coaching
- Quality assurance
- Performance reporting
- Dialer strategy
- Script optimization
- Lead-management consultation
- Contactability strategy
- Spam monitoring and remediation coordination
- Continuous campaign optimization
The Results
The program expanded from approximately two initial agents into a six-person managed operation.
From February through June 2026, the team generated 1,468 appointments.
Those 1,468 appointments represented 97.9% of the program's 1,500-appointment target during the reporting period.
The operation managed more than 111,000 outbound attempts and generated 5,321 connected calls across 4,371 dialing hours.
Daily appointment production increased approximately 47% between February and June.
The Outcome
Calltastic helped MyFed Benefits build a measurable outbound growth channel and continuously optimize it through changing contactability conditions.
Rather than relying on volume alone, the operation combines staffing, coaching, QA, number management, spam remediation, and campaign strategy to protect productivity.
